Candidate Messaging Templates
With Talent Clue, you can notify your candidates about changes in the status of their application using automated messages.
You can configure the content of these messages from "Candidate Messaging Templates". Let's see how to set up your default and custom templates from Talent Clue.
Remember
Candidates added from your talent pool to a position will not receive automated messages.
Click on "Configure"
To access "Candidate Messaging Templates", go to Settings and click on "Configure" for Message Templates for Candidates.

General Configuration
In the first section, you can choose the general settings for your messages.
First, set the default language for your emails by clicking on the dropdown menu. The default language will be used when you haven't configured any other language for your messages.
Once the default language is set, you can enable other languages that you want to use in your templates. To enable them, click on the Enable/Disable Languages button.
For example, if you create a position in English, you should enable and have templates in this language. Otherwise, the candidate will apply to the English position, and all automated messages will be sent in your default language (e.g., Spanish). Now, modify the name that will appear in the candidates' inbox for all the emails you send. Once you have entered the desired name, click "Save" to apply the changes.
The sender's name will be the same for all messages using the message templates. If your company is set as hidden, your sender name will not appear in the communications.
Legend
With the legend, you will understand the meaning of the colored icons next to each message template. Let's see what they mean:
- The red icon (X) indicates that all languages for that template still need to be configured. The languages you need to configure are those you have enabled with the "Enable/Disable" button in the "General Configuration" of Message Templates.
- The yellow icon (!) indicates that some languages are still pending configuration.
- The green icon (check) indicates that all languages are configured.

When the title of a template appears without a icon, it means that the template is not activated. To activate the template, click on the title of the position and then click the "Activate" button. The activated message will be sent to the candidate when the action indicated in its title occurs. For example, if I activate the "Closed job position" template, this message will be automatically sent to the candidates when the position they are enrolled in is closed.
Get to know the templates you can configure

"Shortlist" Templates
- Application sent to finalists: To inform candidates that their CV is being evaluated or that it has been sent to the finalist stage.
- Candidate rejected manually: To inform finalist candidates that they have been manually discarded from the position.
- Closed job position: To notify finalist candidates that the position has been closed.
"In Process" Templates
- Candidate sent to in process: To inform candidates that their CV is being evaluated or that it has been sent to the "In Process" stage.
- Candidate rejected manually: To inform "In Process" candidates that they have been manually discarded from the position.
- Closed job position: To notify "In Process" candidates that the position has been closed.
"Applicants" Templates
- Candidate application via public link: Notifies that the registration has been successfully made via a public link. This has been published as a link, and when clicked, it redirects the candidate to Talent Clue.
- Candidate application via public link (Hidden company): Notifies that the registration has been successfully made for an job with a hidden company via a public link.
- Candidate application via job boards: Use this template to confirm the candidate's registration from a job portal.
- Candidate application via job boards (Hidden company): Notifies that the registration has been successfully made for an job with a hidden company via a job portal.
- Employee applied via a public link: Same as the "Registration via public link" case, but for candidates who are already employees of the company.
- Candidate rejected manually: To inform "Registered" candidates that they have been manually rejected from the position.
- Candidate rejected due to Killer questions: Informs "Registered" candidates that they have been rejected based on Killer Questions.
- Closed job position: To inform "Registered" candidates that the has been closed.
The registration, rejection, and position closure emails are instant. The candidate receives them right after the action is taken. The rejection email due to Killer Questions is automatic but arrives 24 hours after being rejected.
"Candidates Database" Templates
- Added candidate - Information about GDPR: To inform candidates added to your talent pool about GDPR. The message includes a link if they want to exercise their ARCO rights.
- Candidate rejected: When a candidate receives the message "Registration via job portals" or "Person added to the talent pool - Information about privacy policy (GDPR)," they have the option to accept or oppose the storage of their data.
- Invite to update: Use this template to allow people in your talent pool to update their information.
If the candidate opposes the processing of their data, the Owner of the Talent Clue user company will receive an email informing them that the candidate does not agree to data storage. Therefore, the Owner (or another Talent Clue user, except for the "Guest") must delete that candidate from the talent pool.
If you have auto-compliance enabled, the candidate will be automatically deleted 30 days after opposing the processing of their data.
For hidden companies, the "Candidate rejected" message will be received on behalf of Talent Clue as the file controller.
"Custom communications" Templates
- Your personalized email templates: Use this section to create your own message templates. These templates will not be used for automatic messages, but you can use them to send messages to your candidates from your database or the Positions section. Learn more about sending manual messages here.
Fields to configure per template
The following fields can be individually configured for each template:
1. Reply to: Enter an email address for the candidate to reply to your automated message. The message will always be sent from the default email address ([email protected]). If the candidate decides to reply, the recipient will be the email you enter in "Reply to." If you don't want to receive replies, leave the field blank.
2. Subject: This is a required field. The subject will appear as the email title for your candidates in their email inbox.
3. Choose a token: Above the "Message" field for each template, click on "Choose a token" to see a dropdown list of tokens. The generic text of the chosen token will be automatically replaced with the corresponding information for each candidate. By clicking "Choose a token," you will find the following options:
- Candidate full name: It will be replaced with the first name and last name of the person to whom the email is addressed.
- Candidate first name: It will be replaced with the first name of the person to whom the email is addressed.
- Candidate last name: It will be automatically replaced with the last name of the person to whom the email is addressed.
- Company title: It will be replaced with the name of your company. The name is modified according to the subsidiary or parent company sending the email.
- Job Link: It will be replaced with the link of the corresponding in the communication.
- Job title: It will be replaced with the name of the corresponding in the communication, without a link to the .
The "Registration via job portals" and "Person added to the talent pool - Information about privacy policy (GDPR)" templates contain special tokens related to GDPR. Learn more here.
4. Add images to your message. When editing the template, you will see an icon that allows you to add images.

Once you have added the desired image, if you click on the image, a box will appear with various options to edit it (rotate and flip). As shown in the following screenshot, by clicking on the icon, you can edit the tones and brightness of your image.
5. Add links to your template.
It's good to enhance the visual appeal of your messages, but you can make the candidate feel even more comfortable during the selection process. By adding links, you can provide value to the candidates by giving them more information about you or any topic you believe may be of interest to them..
Simply select the word you want to turn into a link and click on the hyperlink icon, as shown in the following screenshots:
A box will appear where you can insert the desired link and see the text that will be displayed (the one you selected in the previous step).
The destination field will show "Open in a new window" since your link will always open in a new page.

Save the message
Once you have configured your entire message template, you can choose from several options:
- Preview: To preview the entire content of the email that your candidates will see once the message is sent.
- Save and apply to your subgroups: If you see this button in your Talent Clue account, it means you have subgroups with which you can share your templates. Learn more about this option here.
- Save: To save the changes you have made to your template.
