Send a customised email to a candidate

Both from the "Candidates" page and from within a specific position, you can send personalized emails to the candidates of your choice. You can create as many messages as you want and save them as templates for later use to save time.

Remember

Candidates added to a specific position, meaning those you have added from the database yourself, do not receive automatic messages when they are rejected. So, this is a very useful tool for contacting them. Here's an article explaining the differences between adding to a position and inviting to a job.

Create a Template

To create this type of template, you need to access it through the "Settings".

Navigate to "Candidate Messaging Templates"

Click on "Your personalized email templates"

Create a Custom Email

  • Template: When you create a message and save it, a template is automatically generated that you can load whenever you want by clicking on this field. You can choose from existing templates and edit them.
  • Title: Add a descriptive title.
  • Language: You have the option to create custom email templates in multiple languages.
  • From: In this field, you can enter your email address. If left blank, candidates will not have the option to reply to the email.
  • Subject: This field is mandatory and represents the email's subject.
  • Message: In this field, you can write the body of the message.
  • Footer: Here, you can write the message's footer. The candidate's data protection rights link will appear by default.

Save the template or preview it

You have the option to save the template or preview it before saving.

Send the Email from within a Job Posting

Once you have created your template, you can send emails to the candidates you're interested in for a specific position.

Go to "Actions"

From the stage you are interested in (in our case, we choose "Applicants"), click on "Actions".

Select Candidates

Now, you need to mark the candidates to whom you want to send the email you've created.

Select "Send email"

Next, select the action you want to perform, in this case, we choose "Send email".

Choose a Template or Create Your Message

This is the email manager. From here, you can load a template created earlier in the previous step by using the "Template" option. If you load a template, you can always modify it. When you have the message ready, simply click on "Send email".

Sending the Email from Your Candidate Database

Once the template is created, you need to access your candidate database to send the email. Click on "Candidates", then "Basic search".

Select the Candidates

Once you're on the "Candidates" page, select the candidates to whom you want to send the email. Use the checkboxes on the left of their names to select them.

Choose an Action

Expand the actions menu and select "Send email".

Choose a Template or Create Your Message
